How to Decide What to Outsource to a Virtual Assistant

It’s very easy to recognise that you need help - what’s not so easy is working out exactly what you need help with. But without knowing what tasks you need to outsource, it can be tricky to find the right virtual assistant to support you. In addition, it can make the entire process of outsourcing incredibly frustrating for both you and your chosen virtual assistant if you’re not clear on what you need help with.

Thankfully, you can easily work out what to outsource by following these three simple steps:

1. Document everything

And I mean everything. For a week, note down every single task you do. Use a time-tracking tool like Toggl (it has a handy Chrome extension so you can just hit go and enter the task time in a flash). After a week, you’ll have a detailed list of everything you do which will help you work out what requires only you and what you can potentially outsource.

2. Split your tasks into categories

Four categories to be precise:

• Things I don’t know how to do

• Things I hate doing

• Things I don’t have time for

• Things only I can do

Assign each task to a category. This will help you work out what tasks genuinely need your attention and which tasks you could use a virtual assistant for.

3. Embrace expertise

The greatest realisation anyone can have is that you cannot be a true expert in everything - so don't try to be! So start with the tasks that you don't know how to do and hire someone who does i.e. a virtual assistant! Once you've outsourced what you can't do, look next at what you hate doing and lastly what you don't have time for.

This strategic approach to delegation not only allows you to focus on your strengths and pursue what you love doing but will ultimately generate revenue and drive business growth.
